Title:  Group Coordinator - Zephyr Cove Resort

Job Description

The Group Coordinator works closely with the onsite Sales & Marketing team as well as the Corporate Marketing team to ensure smooth and seamless group experiences, including coordinating reservations, managing special requests, monitoring group arrivals and departures, and maintaining accurate records. They handle all aspects of group reservations, including processing requests, changes, and cancellations received via various channels (phone, email, etc.).

Collaboratively with the key stakeholders, they coordinate, organize and execute communication initiatives, including both proactive and reactive communication to bring the brand to life. The coordinator will provide support on all local engagement activities, both partner and consumer facing, including but not limited to written and verbal communication, events, programs and community events.

Job Responsibilities

• Coordinate with Sales Managers to execute group booking accordingly in appropriate systems. Any additional group changes will be updated by the sales coordinator.
• Enter pertinent information into Sales, POS and Event Management systems.
• Run group reports through our sales system and continually maintain group bookings in property systems.
• Type, answer telephones, send correspondence, etc. (as required)
• Take leads both over the phone and email, then process in our sales system.
• Input and maintain accurate data in the reservation system, including group rooming lists and room blocks.
• Set-up proper billing accounts according to Accounting policies.
  Updates and manages content of marketing materials and coordinates print production when required.
• Supports the operations team in hosting groups and events.
  Leads the concierge referral program, tracking inbound bookings and generating regular reports.
• Coordinates engagement activities showcasing new packages, programs, and services.
• Executes, measures and tracks participation for Aramark vendor partner programs.
  Builds and maintains core relationships with clients, and local communities.

Qualifications

• 2 years of experience in hospitality industry
• Flexible schedule, able to work evenings, weekends and holidays
• Well organized, detail oriented with excellent follow-up skills
• Requires a high school diploma or equivalent
• Excellent oral and written communication skills
• An eye for design and branding
• Strong research, project management and analytical skills
• Advanced knowledge of Microsoft Office and Adobe applications
• Excellent project management skills with a proactive approach to all projects
