Job Description
The Mail Coordinator I is responsible for assisting management with administrative tasks including, but not limited to, ordering, data entry, filing, etc. The Mail Distribution Worker will be required to interact with customers, visitors, and employees in a professional and pleasant manner. Essential functions and responsibilities of the position may vary by Aramark location based on client requirements and business needs.
The purpose of this job is to ensure all the inmates’ outgoing mail meets policy, picks up/distributes legal mail from the courthouse, ensuring it is handled properly and delivered in a timely manner.
Essential Job Functions:
- Monitors inmates’ outgoing mail, including approving postal mail/photos on Smart Jail Mail, and ensuring all mail labeled "legal mail" is going to a legal entity.
- Sorts incoming USPS mail, logging legal mail.
- Collects outgoing mail from a variety of internal and external locations Go to warrants and intake to pick up interoffice mail.

Physical Effort Required:
- The work of this class primarily involves sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
Working Conditions:
- Typical office or similar setting. Some possible exposure to verbally abusive and physically threatening individuals. Noise levels range from quiet to loud but are normally quiet to moderate. Some inmate contacts. NOTE: All employees who have direct inmate contact are required to have a medical exam/screening which includes a PPD (TB screening) prior to job assignment. Any positives on the PPD will require further evaluations by the Health Department. Re-examination shall be given according to a defined need or schedule.
Job Responsibilities
• Responsible for performing administrative functions including distributing mail, ordering and stocking supplies, answering phones, and greeting visitors
• Assists unit management with clerical tasks in relation to accounting, payroll, receiving, and/or human resources including filing, data entry, record review and maintenance, etc.
• Greets customers, clients, and employees; answers inquiries or directs calls where necessary
• Schedules meetings and handles travel arrangements, expense reports, etc.
• Maintain office memos and informative postings
• Operate technology, systems, and software such as voicemail systems, copy/scanners, personal computers, and MS Office

Qualifications
• Prior administrative experience preferred
• Have solid understanding of Microsoft applications, including but not limited to: Outlook, Word, PowerPoint, and Excel
• Demonstrates interpersonal and communication skills, both verbal and written
• Demonstrates strong organizational skills, accuracy, and attention to detail
• Requires occasional lifting, carrying, pushing, and/or pulling of up to 25 lbs.
• Requires frequent performing of repetitive motions with hands and/or arms
