The Mailroom Coordinator administers a range of diverse corporate business support such as administrative support services, office services etc. 

 

Performs various office support duties including handling mail, filing, word processing, messenger services, etc. 

 

The Mail Coordinator is responsible for performing the daily tasks including, but not limited to, ordering, shipping and receiving mail and packages. This role requires strong organizational skills, attention to details, and the ability to provide high level of customer service in a professional and pleasant manner. The coordinator will also have some administrative responsibilities as they also serve as the Corporate Services front desk role. Proficiency in using mail management software and experience in similar role are preferred.

Job Responsibilities

  • Retrieves incoming mail from local post office and brings outgoing mail to local post office daily.
  • Operates the company vehicle, when needed, in a safe and efficient manner, documents usage, and coordinates maintenance of the vehicle.
  • Sorts incoming and interoffice mail by department and delivers the mail to appropriate recipients within respective departments.
  • Collects outgoing and interoffice mail from departments.
  • Sorts, weighs and applies postage to all outgoing mail utilizing both manual and sophisticated processing equipment.  Knowledge of Pitney Bowes equipment and
  • Send Pro Enterprise is a plus.
  • Calculates special handling fees and enters such on documents.
  • Performs all internal & external distribution requirements as outlined by supervisor.
  • Scans all FedEx, UPS, DHL, USPS letters and packages and prepares for delivery.
  • Process outbound UPS mail as needed.
  • Prepare all mail and package items for outgoing shipment including palletized packages, freight elevator operations, and loading dock delivery.
  • Deliver priority items as per the recommended schedule.
  • Receive skids of paper and deliver paper to copier and replace toner throughout the office building.
  • Receives building supplies and materials.
  • Answers calls to the mailroom in a timely manner.
  • Staff mailroom client window, support records incoming/outgoing processes.
  • Assist in inquiries for maintenance staff and submit services requests.
  • Other duties as assigned.

Qualifications

  • Prior administrative experience preferred
  • Have basic understanding of Microsoft applications, including but not limited to: Outlook, Word, PowerPoint, and Excel
  • Demonstrates interpersonal and communication skills, both verbal and written
  • Demonstrates strong organizational skills, accuracy, and attention to detail
  • Requires occasional lifting, carrying, pushing, and/or pulling of up to 50 lbs.
  • Requires frequent performing of repetitive motions with hands and/or arms
  • High school diploma or higher
  • Previous experience in mailroom operations
  • Proficiency in using mail management software
  • Strong problem- solving abilities.
  • Manual dexterity for handing
  • Ability to multitask
  • Valid driver’s license

3. Technical and Administrative Abilities
    Knowledge of Microsoft office and familiarity with mail tracking/shipping software
    Basic knowledge of office equipment like copiers, printers, and postage meters
    Comfort using phone system, visitor management tools, and facilities service request platforms
    Ability to maintain confidentiality when handling internal correspondence or sensitive materials
4. Facilities and Mailroom Operations Knowledge
    Familiarity with building operations support tasks
    Awareness of safety and security protocols related to job responsibilities
    Understanding of mailroom procedures
5. Interpersonal and Teamwork Skills
    Reliability and consistency in attendance, performance and follow-through
    Cooperative attitude and ability to work as part of a cross-functional team within Maintenance, Security, and Corporate Services
6. Physical and Environmental Requirements
    Ability to lift and move packages or materials up to 50 lbs
    Comfortable working in both office and mailroom environments with varying level of activity
