Position Summary
The Junior Event Specialist supports event planning and production activities for meetings, events, and client-facing functions. This role assists the Senior Event Specialist with coordinating timelines, vendors, deliverables, guest lists, invitations, venue preparation, event documentation, and day-of execution to ensure events are organized, professional, and aligned with client expectations.
This is a hybrid role that requires flexibility to be on-site during event days, key planning meetings, vendor walkthroughs, inspections, or business needs. The role may interact with clients, vendors, guests, and internal departments to support smooth event execution from planning through completion.
Compensation Data
COMPENSATION: The Salaried rate for this position is $39,395.00 to $70,595.20. If both numbers are the same, that is the amount that Aramark expects to offer. This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities
Essential Duties and Responsibilities
Event Planning and Production Support
- Assist the Senior Event Specialist with organizing events from conception through completion, including planning timelines, vendor coordination, production details, and follow-up items.
- Support event timelines, planning checklists, production schedules, deliverables, and client expectations to help ensure events are completed accurately and on time.
- Coordinate with internal departments, vendors, and service partners to support event needs, setup requirements, materials, logistics, and day-of execution.
- Conduct research, gather planning details, and support recommendations related to event concepts, vendors, materials, and operational needs.
Administrative Coordination. - Maintain event databases, planning trackers, calendars, contact lists, event notes, and related documentation.
- Schedule meetings, prepare meeting materials, capture follow-up items, and support communication between planning stakeholders.
- Prepare and submit expense reports, organize receipts or backup documentation, and support event-related administrative follow-up.
- Support invitation coordination, guest list management, attendee tracking, and related event communications.Event Operations and Guest Support.
- Assist with venue preparation, room readiness, signage, materials, registration needs, and other event-day setup details.
- Support guest arrival, attendee check-in, client interaction, vendor coordination, and general guest assistance as needed.
- Maintain professional communication with clients, vendors, guests, and internal partners before, during, and after events.
- Remain flexible to support on-site event needs, including early starts, late coverage, or schedule adjustments based on event requirements.
Quality Assurance and Problem-Solving
- Conduct final inspections on event day to confirm venue readiness, setup accuracy, presentation standards, and alignment with client expectations.
- Identify and troubleshoot unforeseen event issues in real time while escalating concerns appropriately to protect the client and guest experience.
- Track event concerns, service gaps, vendor issues, and follow-up items to support continuous improvement.
- Participate in departmental training programs as directed by management and perform other duties as assigned.
Qualifications
- Bachelor’s degree required One (1) to two (2) years of experience in event planning, hospitality, conference services, administrative coordination, p.
- roduction support, or a related environment required.
- Strong organizational skills, attention to detail, follow-up discipline, and ability to manage multiple priorities in a fast-paced client-facing environment.
- Professional communication skills and the ability to interact appropriately with clients, vendors, guests, and internal stakeholders.
- Ability to work a hybrid schedule and report on-site as needed for event days, planning meetings, inspections, vendor walkthroughs, or business needs.
- Ability to travel approximately 10% of the time based on business or event requirements.
