The Supervisor, Operations supports and coordinates daily workflow, service quality, service-level expectations and operational needs across the Duplicating, Mailroom and Reception departments. This role assists with coordinating requests, monitoring job progress and backlogs, maintaining accurate records, tracking service activity, supporting front desk coverage and guest services, coordinating follow-up with approved vendors and service providers, and helping ensure departmental work is completed accurately, efficiently, securely and in accordance with firm policies, service expectations, confidentiality requirements and deadlines. The position also supports business improvement efforts by identifying process gaps, assisting with quality control follow-up, communicating workflow updates, supporting procedural consistency and recommending operational improvements to management.

Compensation Data

COMPENSATION: The Salaried rate for this position is $80,000.00 to $100,000.00. If both numbers are the same, that is the amount that Aramark expects to offer. This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities

Logistical Coordination for STB Teams & Workflows

  • Coordinate daily operations for Duplicating, Mailroom, and Reception services, ensuring deadlines, coverage requirements, service expectations, and quality standards are met.
  • Monitor incoming requests, track project status, maintain workflow records, and provide timely updates on service activity.
  • Prioritize requests, coordinate large projects, balance competing deadlines, and support resource planning under management direction.
  • Identify workflow gaps, service delays, and process improvement opportunities to enhance efficiency, accuracy, and customer service.
  • Review completed work for accuracy, consistency, timeliness, and compliance with departmental procedures.
  • Maintain operational documentation, workflow logs, service reports, schedules, coverage plans, and tracking databases to support accountability, service consistency, document security, and legal compliance.
  • Assist management in reviewing service metrics, usage trends, backlog activity, supply requirements, and cost-effective operational practices; recommend process improvements as appropriate.
  • Monitor service levels, turnaround times, and recurring issues to support timely request completion and consistent service delivery.
  • Coordinate with approved vendors regarding supplies, equipment maintenance, repairs, and service requests.
  • Communicate workflow changes, procedural updates, and departmental guidelines to support consistency across teams.
  • Provide onboarding support and procedural guidance to new or temporary team members without supervisory authority.
  • Support Mailroom operations, including mail distribution, messenger requests, litigation bags, and package handling.
  • Support Reception operations, including front desk coverage, visitor assistance, conference room coordination, and phone support.
  • Manage inventory and supply ordering for Duplicating, Mailroom, and Reception functions.
  • Respond to service inquiries, resolve routine issues, and escalate concerns when necessary.
  • Follow departmental policies, confidentiality standards, security protocols, visitor procedures, and firm compliance requirements.
  • Perform preventive maintenance on copiers, bindery, and mailroom equipment, coordinating repairs as needed.
  • Provide cross-functional support across Duplicating, Mailroom, Reception, and other administrative services.
  • This is a working supervisor role and may provide operational support during staffing shortages or periods of increased workload.
  • Perform other duties as assigned.

Management of Onsite Aramark Resources

  • Approve weekly timesheets and process payroll for designated onsite Aramark resources.
  • Perform monthly fiscal close activities, including reconciliations and invoice preparation.
  • Conduct annual performance evaluations for Aramark resources and deliver performance feedback in accordance with Aramark operational requirements.

This position has no supervisory authority and does not manage, coach, discipline, interview, hire, terminate or evaluate STB employees

Qualifications

Required Qualifications

  • 3+ years of experience in duplicating, mailroom, reception, administrative support, operations coordination, or a related field
  • Ability to coordinate work across multiple service areas while maintaining accuracy, professionalism, and timely communication
  • Proficiency in Microsoft 365 applications, including Outlook, Excel, and Word
  • Strong organizational skills with attention to detail, service quality, and follow-through
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • Experience supporting operational workflows, coordinating requests, monitoring service activity, and escalating issues as appropriate
  • Knowledge of quality control, process improvement, and service follow-up practices
  • Ability to identify process gaps and recommend practical operational improvements
  • Ability to communicate process updates and support consistent implementation of departmental procedures
  • Ability to handle confidential and sensitive information with discretion
  • Working knowledge of duplicating equipment and processes, mailroom operations, and reception/front desk support
  • Basic math skills, including addition, subtraction, multiplication, and division
  • Strong customer service skills with the ability to interact effectively with clients, attorneys, staff, vendors, and visitors
  • Ability to prepare updates, summaries, and recommendations based on operational data and service activity
  • Flexibility, patience, diplomacy, and strong problem-solving abilities

Preferred Qualifications

  • 5+ years of experience in a law firm or corporate environment supporting duplicating, mailroom, reception, administrative operations, or shared services
  • Experience using workflow, ticketing, reporting, or operational tracking systems
  • Experience with platforms such as Workday, viaPeople, iManage, Copitrak, ServiceNow, or similar business applications
