A Fortune 500 company has an opening for a position in the Global Event Marketing Group.
The team is comprised of highly experienced event management professionals that include event
marketers, strategists, planners, logistics experts, meeting and roadshow coordinators, content
managers, list managers, finance and budget experts, process controllers, and reporting analysts.
Applicants must have experience in the planning and execution of corporate roadshow meeting and travel
logistics as well as virtual meeting production and execution. Candidates must be committed to very
high-quality control standards, quick turnaround times and tight immovable deadlines and consistent
changes in the environment. Core competencies include working in a fast-paced environment, managing
multiple simultaneous roadshows, strong attention to detail, excellent communications and client
service skills, willingness to work across global time zones and/or work off hours, ability to use standard
office computer systems and working under pressure while being a collaborative team player.

Compensation Data

COMPENSATION: The salary range for this position is $95,000 to $110,000. If both numbers are the same, that is the amount that Aramark expects to offer.  This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting. ​

Job Responsibilities

 As a Marketing Roadshow Coordinator supporting the clients Global Event Marketing Roadshow Team, the
candidate should excel at planning and execution for the business units the team supports. Applicants
should have experience managing the A-Zs of roadshow planning within the financial services industry as
well as experience managing multiple tasks effectively in a heavy workload position.
The Event Marketing Roadshow Coordinator is responsible for planning and executing high-profile
roadshows by collaborating with Corporates, Investment Banking, and Capital Markets teams. This role
involves extensive coordination of logistics, including travel, accommodations and meeting
management, while maintaining seamless communication with corporate management teams and
internal stakeholders. The Event Marketing Roadshow Coordinator will demonstrate strong
organizational skills, the ability to work independently and a commitment to excellence, creativity, and
teamwork.

 Key Responsibilities
• Roadshow Logistics –Oversee all aspects of roadshow logistics, including travel and meetings.
Partner closely with internal and external teams to ensure seamless execution and the highest level
of service. Prepare and distribute daily schedules to corporate executives and deal teams. Leverage
all available resources to research, coordinate, and manage complex travel and meeting
arrangements for in-person roadshows. Responsibilities include organizing flights, trains, ground
transportation, hotels and charters (as needed) for both internal bankers and external high-level
clients. Proactively manage changes and resolve issues as roadshow progresses.


• Meeting Management – Provide expertise to the business regarding production of live in-person,
virtual and hybrid roadshow solutions. Oversee pre-event details for live in-person roadshows
including site selection, contract negotiation, cost analysis, staging, and food and beverage services.
Facilitate, initiate and partner with client technology and audio-visual services to ensure appropriate
equipment is included for all programs. Collaborate directly with dedicated technicians; secure video
conferencing and all pertinent meeting related equipment. Travel to and support onsite execution.
Manage registration, ensure accuracy of content and manage reporting for all roadshows within the
CVENT system.


• Vendor Management – Manage relationships with internal and external vendors. Negotiate and
review contract terms, coordinate roadshow requirements and confirm all logistical details are
executed accurately and within established deadlines.


• Administrative- Expense reports, research, payment requests.


• Risk & Control – Maintain event metrics; support all client expense risk and compliance policies.
Reconcile roadshow invoices and close out details in a timely manner.


 

Qualifications

QUALIFICATIONS:
• Minimum of 3-5 years roadshow/travel/corporate access/event planner experience.
• Ability to successfully partner with team members in planning and execution of in person live, virtual
and hybrid roadshows.
• Knowledge of virtual technology platforms, venue/vendor sourcing and event technology
• Strong client service and relationship management skills
• Ability to work independently and make sound decisions
• Strong negotiation, written and communication skills
• Ability to problem-solve and works well under pressure
• Excellent time management skills to handle projects that have long and short lead times
• Ability to multi-task with high level of focus on detail
• Strong organization and prioritization skills
• Collaborative "team player" orientation with a strong regional cultural awareness
• Flexibility in work hours; weekends, holidays and early morning and evening roadshow assistance
may be required to accommodate global time zones
• Travel to venues and providing on-site support during execution is required.
• Knowledge of roadshow trends that affect financial services industry and clients keep current on
cultural and restaurant reviews to ensure ideas are innovative
• Bachelor’s degree or equivalent experience
• High level of computer skills including Word, Excel, PowerPoint, Outlook, virtual platforms and
knowledge of database management, knowledge of IPREO and CVENT a plus
