Job Description

The Concierge Coordinator serves as a key point of contact for employees, clients, and visitors, delivering exceptional customer service and supporting daily office operations. This role manages guest services, space reservations, administrative coordination, and facilities support to ensure a seamless workplace experience.

Compensation Data

COMPENSATION: The Hourly rate for this position is $29.00 to $32.00. If both numbers are the same, that is the amount that Aramark expects to offer. This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities

Guest Services & Customer Experience

  • Greet and assist visitors, clients, and employees in a professional and welcoming manner.
  • Anticipate guest needs and provide exceptional customer service.
  • Book reservations and coordinate visitor registration processes.
  • Address guest concerns and resolve issues promptly or escalate as appropriate.
  • Answer and direct phone calls, emails, and other inquiries in a timely manner.

Administrative & Workplace Operations

  • Reserve conference rooms, guest offices, and other office spaces utilizing the firm's EMS software.
  • Coordinate meeting and event space logistics, ensuring rooms are appropriately prepared and scheduled.
  • Maintain accurate parking validation logs and assist with visitor parking arrangements.
  • Assist with invoice submissions through Emburse software.

Facilities Coordination

  • Serve as a liaison between the firm and building management for facilities-related requests.
  • Submit and track work orders for office maintenance and repairs, including temperature adjustments, lighting issues, plumbing and electrical repairs, and other workplace service requests.
  • Follow up on service requests to ensure timely resolution and communicate updates to stakeholders.
  • Support office inspections and report facility concerns as needed.

Team Support & Coordination

  • Assist in coordinating daily responsibilities within guest services operations.
  • Train and guide team members on customer service standards, workplace procedures, and office systems as needed.
  • Foster positive working relationships with employees, visitors, vendors, building management, and service providers.
  • Maintain a professional demeanor and positive attitude when interacting with clients, guests, and colleagues.

Qualifications

  • High school diploma required; associate's or bachelor's degree preferred.
  • 2+ years in hospitality, concierge, office administration, or customer service.
  • Professional services experience a plus (law firm, consulting, financial services, etc.).
  • Experience with EMS and/or Emburse a plus.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Ability to maintain confidentiality in a professional environment.

 

Physical Requirements:

This role may require standing and walking for extended periods and occasional lifting, bending, pushing, and pulling. Use of uniforms and/or PPE may be required.

Education

High School Diploma
Bachelors preferred
