The Group Sales Assistant plays a critical role in supporting and growing group business at Adventures on the Gorge. This position works closely with the Assistant Director of Sales & Marketing (ADOSM) to manage group bookings (20+ guests), including family reunions, youth groups, scouts, schools and colleges, churches, camps, clubs, and other organized groups.
The ideal candidate is highly organized, guest-focused, detail-oriented, and comfortable managing multiple projects and communications simultaneously. This role serves as a liaison between clients and internal teams to deliver a seamless guest experience from initial inquiry through post-event follow-up.
Job Responsibilities
- Partners with the ADOSM to support and manage a broad portfolio of specialty groups of 20 or more guests, including (but not limited to) family reunions, youth groups, scouts, schools and colleges, churches, camps, clubs, and organizations.
- Manages the full lifecycle of group reservations, including inquiry, planning, pre-arrival coordination, on-site execution, and post-event follow-up.
- Provides operational assistance for group reservations, managing lodging, activities, banquet details, and related reservations within booking systems.
- Collaborates with Operations and Food & Beverage teams to coordinate special requests and ensure successful group execution.
- Provides concierge-style service to support group arrivals and check-in experiences.
- Utilizes CRM and reservation systems to manage leads, inquiries, communications, and booking activity.
- Conducts outreach and supports business development efforts to expand awareness and generate new group opportunities.
- Prepares, distributes, and maintains marketing and communication materials for group clients.
- Communicates updates and ensures accurate information is shared with appropriate internal departments.
- Participates in weekly Group Sales meetings and contributes to departmental planning and follow-up.
- Performs other duties as assigned.
- Performs all responsibilities in a safe manner and in accordance with company policies.

Qualifications
- Minimum of two years operational experience in a hotel/banquet setting required.
- Prior experience with booking of events preferred.
- Strong understanding of sales strategies and pipeline management
- Ability to meet or exceed sales targets and KPIs
- Ability to sell experience-based products (adventure packages)
- Skilled in upselling add-ons (gear rentals, guided tours, lodging upgrades)
- Knowledge of seasonal pricing and occupancy strategies
