Job Description
The Events Coordinator supports the planning, coordination, and execution of weddings, social events, and group functions at Adventures on the Gorge. This role partners with clients and internal teams (Sales, Food & Beverage, Lodging, and Resort Operations) to deliver seamless, high-quality events. The position plays a key role in the planning process, guiding customized events, and ensuring each event aligns with client vision, budget, and operation capabilities.
Key responsibilities include managing all event logistics, creating and managing Banquet Event Orders (BEOs) and event schedules, coordinating vendors and rentals, and leading food and beverage planning across all group events. The Event Coordinator serves as the central liaison between departments, ensuring clear communication, operational readiness, and consistent service standards. This role also provides guidance to sales teams, clients, collaborates with culinary, and identifies opportunities to enhance guest experience and drive revenue.
On event days, this role ensures smooth coordination and handoff to banquet and operations teams for execution and client satisfaction.
Success in this role requires strong organization, attention to detail, and ability to manage multiple events in a fast-paced environment. Weekend, holidays, and seasonal availability are required.
Job Responsibilities
- Oversee direct service delivery of events and manage hand-off of on-site service delivery teams, acting as a key contact for suppliers and customers.
Assist in developing custom events aligned with client needs, budgets, and event goals.
- Provide guidance to sales staff on menus, logistics, and operational capabilities.
- Conduct property tours to showcase venues, lodging, and amenities.
- Lead planning meetings and menu tastings to finalize menus, timelines, logistics, and event details.
- Serve as liaison between sales, culinary, and operations teams.
- Provide detailed information on event/wedding experiences and venue spaces. Guide clients through planning process.
- Identify opportunities to enhance events and increase revenue through upselling or package recommendations.
- Maintain forward scheduling and readiness for upcoming events and oversee F&B planning for all group events.
- Create, manage, and maintain all Banquet Event Orders (BEOs) for catering events and venue rentals.
- Ensure accuracy, consistency, and operational feasibility of all BEOs.
- Communicate BEO details directly with clients and internal teams, including catering, venue layout, AV needs, transportation, and logistics.
- Manage event set up logistics including venue/room layout, technical requirements, food & beverage needs, transportation and all other related activities and/or services.
- Collaborate with vendors and key service users within client organization.
- Facilitate external customer relations; represents Aramark and the client at meetings and events.
- Consult with internal stakeholders and appropriate meeting contacts to understand the business purpose for each event in order to ensure meeting planning and logistical support achieves desired event outcome.
- Assist with event-day coordination as needed, greeting clients as needed and ensuring a smooth transition to the Catering and Banquet Team for execution.
- Follow company guidelines and department procedures for contract language approvals and contract finalization, securing legal assistance, when necessary.
- Develop and maintain standards to ensure consistent approach to production, staging, entertainment, and audiovisual requirements, as needed.
- Develops and is accountable for a safety culture that creates a work environment where no one gets hurt.
- Aid in implementation and adherence to all Aramark Catering initiatives and guidelines.
- Develop and maintain standardized contract templates for preferred venues and partners.
- Maintain standards to ensure consistent approaches to event production, staging, entertainment, and audiovisual needs.

Qualifications

Minimum of two years operational experience in a hotel/banquet setting required.

Prior experience with booking of events preferred.
