Job Description

The Event Day Suite Administrator is responsible for providing administrative and operational support to the Suite Catering team during events. This position serves as an important point of contact between the Suite Catering Office, suite attendants, supervisors, catering operations, culinary teams, and clients to ensure that every event runs smoothly and guests receive exceptional service.

The ideal candidate is highly organized, energetic, comfortable working in a fast-paced event environment, and able to multitask while maintaining a professional and welcoming attitude.

Compensation Data

COMPENSATION: The hourly rate for this position is $20.50 to $20.50. If both numbers are the same, that is the amount that Aramark expects to offer.  This is Aramark’s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities

***Event Day Operations
* Arrive prior to event start time to assist with preparation and ensure the Suite Catering Office is event ready.
* Support the Suite Operations Coordinator and supervisors with event-day operational needs.
* Monitor suite catering orders and communicate updates or changes to appropriate team members.
* Assist with distributing event materials, suite information, menus, signage, and other necessary items.
* Help coordinate deliveries, catering drops, equipment, and supplies throughout the event.
* Monitor event activity and communicate operational issues to management promptly.
* Assist with resolving guest, suite holder, and client requests in a professional and timely manner.
* Maintain accurate event-day records, notes, and documentation.
* Assist with post-event responsibilities, including paperwork, inventory communication, and follow-up items.

***Guest & Client Service
* Provide professional and friendly service to suite holders, guests, and event representatives.
* Answer phones and respond to suite catering inquiries during events.
* Take and communicate last-minute requests when appropriate.
* Direct guests and clients to the appropriate department or team member.
* Maintain a positive, solutions-oriented approach when handling unexpected situations.

***Communication & Team Support
* Communicate effectively with suite attendants, pantry supervisors, culinary staff, management, security, and other arena departments.
* Relay important event updates and changes to the appropriate personnel.
* Assist supervisors with staffing and operational communication as needed.
* Help maintain clear communication between the Suite Catering Office and event-day staff.
* Escalate operational or guest concerns to management when necessary.

***Administrative Responsibilities
* Assist with entering and updating catering orders and event information in company systems.
* Maintain event files, logs, checklists, and other administrative documentation.
* Assist with inventory counts, equipment tracking, and supply requests.
* Help organize and maintain the Suite Catering Office.
* Complete additional administrative projects as assigned by management.

Qualifications

** Qualifications
* High school diploma or equivalent preferred.
* Previous experience in hospitality, catering, food service, events, sports, entertainment, or customer service preferred.
* Strong organizational and time-management skills.
* Excellent verbal and written communication skills.
* Ability to remain calm and professional in a fast-paced environment.
* Strong attention to detail and ability to multitask.
* Comfortable using computers, email, Microsoft Office, and event/catering software.
* Ability to learn and utilize company-specific systems and technology.
* Professional appearance and demeanor.
* Ability to work independently while also functioning effectively as part of a team.

**Event Schedule Requirements
This is an **event-day position** and requires flexibility based on the arena's event calendar.

The position may require working:
* Evenings
* Weekends
* Holidays
* Concerts
* Professional sporting events
* Hockey games
* Family shows
* Special events
* Other ticketed arena events
**Reliable attendance and punctuality are essential.**

**Physical Requirements
* Ability to stand and walk for extended periods.
* Ability to move throughout the arena and suite levels during events.
* Ability to occasionally lift and carry supplies and materials.
* Ability to work in a busy, high-energy environment for extended periods.
* Ability to respond quickly to changing event-day needs.
