Job Description

The Virginia Catering Company is seeking a highly organized and motivated Part-Time Sales Coordinator to support our sales team and contribute to the growth of our catering business. The successful candidate will play a crucial role in managing sales-related activities, ensuring client satisfaction, and providing administrative support to the team. This is an excellent opportunity for an individual with strong communication and organizational skills, a passion for the food and beverage industry, and a desire to work in a dynamic and fast-paced environment. The work environment is primarily an office setting, but may require travel to event sites. 

Job Responsibilities

  • Respond to initial client inquiries via phone and email, providing information about our services, menus, and pricing.

  • Assist the sales team in preparing proposals, contracts, and other sales-related documents.

  • Maintain accurate and up-to-date client records in our CRM system.

  • Coordinate event logistics, including scheduling site visits, tastings, and meetings.

  • Communicate effectively with clients to confirm event details, collect payments, and ensure a smooth planning process.

  • Provide administrative support to the sales team, including managing calendars, scheduling appointments, and preparing reports.

  • Assist with marketing efforts, such as social media management, email campaigns, and event promotion.

  • Collaborate with the operations team to ensure seamless event execution.

  • Provide exceptional customer service to clients, addressing their needs and exceeding their expectations.

Qualifications

  • ​​​​High school diploma or equivalent; associate's or bachelor's degree in hospitality, business, or a related field is a plus.
  • 1-2 years of experience in a sales support, administrative, or customer service role, preferably in the catering or hospitality industry.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).  
  • Experience with CRM software is preferred.  
  • Ability to multitask, prioritize tasks, and meet deadlines.
  • A positive attitude, strong work ethic, and a passion for providing exceptional customer service.
  • Must be able to work independently and as part of a team.
  • Flexibility to work occasional evenings or weekends as needed for events.
