Job Description
This position is with The Virginia Catering Company. The Administrative Support Worker is responsible for providing clerical and organizational support to the catering department, including managing event details, client communication, inventory tracking, staff scheduling, and ensuring smooth operation of catering services by handling administrative tasks like data entry, invoice processing, and event documentation.
Job Responsibilities
Event Management:
- Coordinating event details with clients, including menu selection, dietary restrictions, guest count, and event timeline.
- Creating and maintaining event spreadsheets to track key information.
- Scheduling staff for catering events based on requirements.
Client Communication:
- Answering client inquiries regarding catering options and pricing.
- Sending event confirmations and invoices to clients.
- Managing client feedback and resolving any issues.
Inventory Management:
- Tracking catering supplies, including food items, linens, and equipment.
- Placing orders for inventory replenishment.
- Maintaining proper storage and rotation of food items.
Financial Administration:
- Processing catering invoices and payments.
- Generating reports on catering revenue and expenses.
- Assisting with budget management for catering operations.
Administrative Tasks:
- Data entry for client information and event details.
- Maintaining filing systems for catering documents.
- Answering phone calls and emails related to catering inquiries.
Staff Support:
- Communicating catering schedules to staff members.
- Assisting with staff training on catering procedures.
- Addressing any operational concerns raised by catering staff.

Qualifications
Required Skills:
- Excellent organizational and time management skills
- Strong communication and interpersonal skills to interact with clients and staff
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) for data management and reporting
- Attention to detail to ensure accurate event planning and execution
- Ability to work under pressure and meet deadlines
Work Environment:
- Primarily office-based, with occasional visits to event venues to monitor catering operations.
- May involve flexible hours depending on event schedules.
