Job Description

The Catering Sales Coordinator is responsible for coordinating and supporting all aspects of catering operations, ensuring exceptional customer service, efficient event execution, and adherence to food safety and company standards. This position requires a highly organized and customer-focused individual who thrives in a fast-paced environment and can effectively communicate with clients, staff, and management. The Catering Service Coordinator must be willing to work flexible schedules, including evenings, weekends, holidays, and extended hours based on business demands and event schedules.

Job Responsibilities

  • Serve as a primary point of contact for clients, ensuring all event details, special requests, and expectations are communicated accurately.
  • Assist with menu planning, event logistics, staffing assignments, and service timelines.
  • Coordinate and help to oversee catering events from initial request through final execution.
  • Conduct pre-event and post-event inspections to ensure quality standards are met.
  • Support management with scheduling, inventory control, ordering, and event documentation.
  • Maintain accurate records of catering orders, event changes, billing information, and client communications.
  • Provide leadership and direction to catering staff during setup, service, and breakdown of events.
  • Ensure compliance with all food safety, sanitation, and workplace safety standards.
  • Assist with training and onboarding new employees on catering procedures and service expectations.
  • Resolve client concerns and service challenges professionally and efficiently.
  • Collaborate with culinary, operations, and service teams to ensure successful event execution.
  • Maintain cleanliness and organization of catering storage areas, equipment, and supplies.
  • Assist with loading, unloading, transporting, and setting up catering equipment and products as needed.

Qualifications

  • Prior catering, hospitality, food service, banquet, or event management experience preferred.
  • Strong customer service and interpersonal skills with the ability to build positive relationships with clients and team members.
  • Excellent verbal and written communication skills.
  • Demonstrated ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Must possess flexible availability, including the ability to work evenings, weekends, holidays, and 40+ hour work weeks based on operational needs.
  • Ability to stand and walk for extended periods during events and operational shifts.
  • Ability to frequently lift, carry, push, and pull up to 50 pounds.
  • Ability to perform repetitive movements, bending, reaching, and other physical tasks associated with catering operations.
  • Food Safety or ServSafe certification preferred.
  • Must possess a valid Drivers License
