Job Description

The purpose of this role is to manage service delivery of a programme of planned preventative maintenance of building services activities across a large property portfolio.
 
The role will include ensuring that all statutory compliance requirements are planned, and tasks are scheduled to the maintenance standards in line with client requirements.

Job Responsibilities

•    Managing & supporting the activities of PPM Coordinators ensuring compliance to all contractual and statutory requirements
•    Management of live Risk Register to agreed standards. 
•    Ensuring that all documentation is uploaded to the Management Information System within the timescales set out in the contracts.
•    Monitor & Report on productivity of teams & implement initiatives to increase same
•    Manage the Change Control process to ensure that changes to assets, standards, frequencies, resource, or dates are recorded, assessed for operational and commercial impact implemented in a controlled manner.
•    Support & Guide co-ordination of all work orders both planned and unplanned. 
•    Lead the digital transformation and integration of MIS System across all areas of the contract by providing training & support to the wider Contract team.
•    Schedule PPM task frequencies based on contractual maintenance standards. 
•    Ensuring components and spares are delivered to site on a just in time basis and be available for Service Technicians on their scheduled days.
•    Audit of task reporting for Quality and compliance, report any discrepancies or poor reporting to the Hard Services Manager and Account Director
•    In conjunction with the Hard Services Manager develop an Asset Management Programme that identifies, tracks, and records the life cycle of key assets.
•    Prepare Data trends & Analysis for senior management along with other Adhoc Reporting.
•    Delivery of training and awareness to technical and non-technical staff as necessary

    - Hard Services Manager, Combined Services Manages and Supply chain partners.
    - Service Centre Manager and Supervisors
    - Key contractors and suppliers

Experience

*Essential

  • Proactive and willing to take responsibility and strong communicator
  • At least 5 years’ experience of managing planned and statutory maintenance in a fast paced, FM environment
  • Ability to work effectively as a member of a team and on own initiative with limited supervision
  • Experience knowledge of PPM; and statutory compliance.
  • Competence in the use of CAFM systems; Excel, Word and PowerPoint
  • A high level of interpersonal skills in dealing tactfully and confidentially with a range of people.
  • Good decision-making skills with the ability priorities workload and work flexibly.
