Job Description
The Facilities Manager’s primary role will be to ensure the smooth delivery of all hard and soft services in our client site in Dublin 1 in a practical and innovative way. He/she will work with the existing site based team to deliver all day to day facilities services ensuring office appearance, maintenance, cleaning, security, vendor delivery, H&S, event support and space/move management occur as planned and are in line with SLA and KPIs.
This is role that requires a good knowledge of technical services in a modern office building, staff management and sound financial judgement with excellent customer relationship management skills. Budget control and monthly reporting are key deliverables for this role working as a key member of a dynamic team providing excellence in TFM they need to be recognised as a local facilities ambassador bringing their knowledge, experience and enthusiasm to the table.
Job Responsibilities
• To ensure the first class performance and further development of the sites under your remit, managing all our staff on site, mobile technicians and specialist sub-contractors to meet our contract KPIs/SLAs.
• Support and develop the on site teams to enable them to excel at what they do best. Ensure all staff training and inductions are up to date.
• Work with the cleaning manager to ensure that we deliver clean and presentable buildings at all times in line with client’s expectation.
• To develop, implement and manage all PPM and Reactive maintenance activities utilising our CMMS system, ensure target completion rates are achieved and repairs are closed out in a timely fashion.
• Manage 3rd party contractors who deliver facilities services on site ensuring they comply with site requirements, H&S processes are in place and services are delivered as per specifications.
• Management of HR issues ensuring company policies are fully implemented.
• Provide 1st line support to office systems such as VC, phones, printers, booking systems etc.
• Work with client teams to support their car fleet program.
• To ensure the financial performance of your sites are compliant, in line with budget and are reported on monthly.
• Conduct regular site audits to ensure that the specified standard of work is maintained.
• Take full responsibility for all quality, environmental and health & safety issues and ensure compliance with company policies and legal requirements including the effective closing out of audit action plans.
• Ensuring that project works are completed on time, in budget and to the required quality levels.
• Identify, implement and promote innovations/projects to enhance service delivery and/or customer experience.
• Production of reports, support the Account Director and participate in the 24/7 emergency on call service as required.
• Encourage and liaise with the client for other service provision to expand the scope of the contracts into the supply of other services.
Qualifications
• A minimum of 5 years experience delivery similar services at this level.
• Previous experience managing client relationships and developing staff.
• Excellent working knowledge of all technical services in a modern office building.
• A formal H&S qualification i.e. IOSH certificate or similar is advantageous.
• Electrical trade qualification is desirable.
• Dependable with proactive can do attitude with the ability to work independently as well as part of a team.
• Excellent IT, Administration and Communication skills.
• Familiar with ISO 9001, 14001 & 45001 – 50001 is advantageous.
• English essential Excellent communication skills including verbal and the written word.
