Job Responsibilities

Building Access & Security

  • Opening and closing of the building
  • Management and issuing/return of visitor access cards, including administration of temporary and lost cards
  • Issuing and recording of keys to contractors and client staff
  • Monitoring Fire and CCTV systems, responding promptly to alarms or issues, and reporting in line with site procedures
  • Anticipating, welcoming, and announcing visitor arrivals

2. Reception & Front of House Operations

  • Monitoring the reception area throughout the day
  • Maintaining a clean, tidy, and professional reception and tea station area
  • Managing walk-in enquiries effectively
  • Providing a professional and welcoming presence for all tenants and visitors

3. Visitor & Contractor Management

  • Welcoming visitors and coordinating arrivals
  • Handling visitor queries in a professional and timely manner
  • Managing contractor access, including key control and sign-in procedures

4. Communication & Enquiries

  • Managing phone enquiries efficiently
  • Handling internal and external email communications
  • Monitoring emails throughout the day and responding as required
  • Supporting general internal communication within the building

5. Facilities & Amenities Monitoring

  • Supporting the facilities team with daily tasks, including monitoring restrooms, tea stations, and canteen areas
  • Reporting maintenance or service issues to Facilities Management as required

6. Mail, Deliveries & Logistics

  • Managing deliveries, couriers, and collections
  • Liaising with Mail Metrics postal services
  • Coordinating incoming and outgoing mail

7. Financial & Sensitive Item Handling

  • Notifying relevant departments of received cheques or sensitive items
  • Following site procedures for secure handling and distribution

8. Facilities Management Support

  • Providing support to the Facilities Management team as required
  • Assisting with day-to-day operational needs across the site

9. General & Ad Hoc Duties

  • Carrying out any other duties required to support the safe, efficient, and professional operation of reception and the building, as directed by site management
