Job Description

The Dedicated Onsite - Front of House will ensure the smooth operation for St Stephen’s Green House (SSGH) and remote front of house services for 4 Earlsfort Terrace (4ET). This role is critical in maintaining a welcoming environment for both visitors and staff while supporting the Building and Property Managers in facility management tasks. You will oversee front-of-house activities, manage tenant and contractor relations, and handle key operational functions.

Job Responsibilities

    • Create a welcoming and professional atmosphere for all visitors and staff.
    • Manage couriers and postal deliveries.
    • Ensure contractors and visitors log in using Traction Guest system.
    • Assist the Property and Building Manager with reactive and planned maintenance scheduling and tacking.
    • Support third-party contractors on-site for scheduled or reactive maintenance as needed.
    • Assist with uploading various Smart Sheets and SharePoint trackers.
    • Maintain the visual screens and information load
    • Assist with all tenant communications.
    • Report any maintenance needs regarding building fabric and common areas to the Building Manager.
    • Conduct a weekly bell test of the fire alarm (training will be provided).
    • Monitor building security and report any issues and report to the building manager.
    • Manage the distribution and safe return of keys to contractors.
    • Build and maintain positive relationships with tenants and occupiers.
    • Act as a point of contact for day-to-day issues, ensuring timely resolution.
    • Provide a weekly report to the Building Manager detailing contractor attendance and activities.
    • Support the Building Manager and property manager with additional administration tasks as needed.
    • Record and report electricity readings.
    • Keep the front desk and main entrance (steps and lift lobby) clean and tidy.

Qualifications

  • Fluent in English, with strong communication and interpersonal skills.
  • Experience in hospitality, office administration, or office management.
  • A positive team player, capable of working independently and managing multiple tasks.
  • Energetic, motivated, and solution focused.
  • Proficiency in MS Excel, Word, and Outlook.
