Job Description
Join our team at the RNLI College in Poole, where you'll play a key role in supporting the smooth day-to-day operation of a busy hospitality and training environment. Working as part of a new job-share arrangement, you'll provide vital administrative, finance, payroll and reporting support to the management team, helping to ensure our systems, records and processes are maintained accurately and efficiently.
This is an excellent opportunity for an organised and proactive administrator who enjoys working collaboratively and managing a varied workload. You'll liaise with colleagues, suppliers and RNLI personnel, support financial and payroll processes, maintain important records, and contribute to compliance, health & safety and reporting activities. If you have strong attention to detail, excellent communication skills and a positive, team-focused approach, we'd love to hear from you.
We have two oermanent part time vacancies as part of a job share.

Job Responsibilities
- Manage and maintain company computerised systems, ensuring accurate records and compliance with audit requirements
- Process and receipt invoices and delivery notes, maintain digital/paper records, and provide invoice copies to RNLI
- Support payroll administration through Kronos, including payroll reconciliation, shift scheduling support, and weekly hours checks
- Assist with financial administration, including revenue reporting, banking, petty cash management, reconciliations, and change orders
- Produce and maintain weekly and monthly reports, paperwork, and financial records for Aramark and RNLI within required deadlines
- Provide administrative support to managers and departments, including meeting minutes, HR processes, personnel records, locker management, and GDPR compliance
- Support Health & Safety and compliance activities by logging incidents, monitoring SHE tickets, assisting with audits, and maintaining required records
- Manage operational administration such as waste reporting, menu updates and signage, invoice verification and issue resolution, and supplier/stakeholder communications.
Key Requirements:
- Flexible & organised approach to the role with a can-do attitude.
- Integrity and discretion and the ability to handle uncomfortable situations.
- Good knowledge of Microsoft office systems required.
