Job Description
The Hospitality Associate is responsible for delivering client-facing services, which include setting catering for meetings, ensuring the upkeep of office kitchens and supplies, and providing support with meeting room set-up tasks. As a member of a collaborative Hospitality team, this position is responsible for maintaining clean and orderly kitchen and meeting spaces, promoting a professional and inviting atmosphere for both guests and staff, and delivering outstanding support for all meetings and events. This position requires strong customer service and teamwork, event and meeting support, and administrative support.
What You Will Do
Catering and event support:
o Coordinating the setup and breakdown of catering stations, maintaining cleanliness and orderliness in all service areas.
o Ensuring that all food and beverage items are presented according to catering orders and promptly replenished as needed throughout the duration of meetings.
o Assisting guests and staff with any catering-related requests during events.
Kitchen and Coffee/supply management:
o Monitoring and maintaining coffee machines on every floor throughout the day, including refilling supplies and resolving any operational issues.
o Maintaining kitchen areas to high health & safety standards.
o Stocking various supplies such as all supplies required for coffee machines, beverages, and other kitchen area supplies.
Administrative tasks:
o Ordering and managing coffee/supplies and inventory.
o Managing post-event beverage reporting.
o Producing coffee statistics and service log reports.
o Reviewing meeting and event service orders to ensure they are complete and accurate.
o Attending daily team meetings and contributing to event detail discussions.
o Assistance with maintaining process documents.
Room setup and maintenance:
o Setting up and resetting meeting rooms according to required layouts.
o Ensuring rooms are set/reset to original or predetermined layout before and after each meeting (including moving furniture, dishes, etc.)
o Ensuring clean and tidy meeting room spaces.
What You Bring
o Exceptional customer skills to provide professional experience for guests and staff.
o At least 2-3 years of relevant experience, preferably in a corporate setting.
o Excellent time management, organizational and multi-tasking skills. Ability to work under pressure to meet critical deadlines, with strict attention to detail.
o The ability to manage multiple requests efficiently.
o Proficiency with Microsoft 365 (Outlook, Teams, Excel, Word, and SharePoint) and the ability to learn new software programs.
o Strong problem-solving, multitasking, and coordination abilities.
o Demonstrated commitment to accuracy, timeliness, and exceptional attention to detail, with a proactive approach to identifying and implementing process improvements.
o Energetic, adaptable, and solution-oriented
o Physical ability: The capacity to stand and walk for extended periods and lift items weighing 30 pounds.
o This is an in-office role requiring to be in-office 5 days per week.
o Office hours are 7:30 am – 4:00 pm daily.
o Food Handling Certification and Smart Serve Certification an asset.
