Job Description

Reporting to the Catering director, the Assistant helps coordinate day to day catering operations for a diverse campus community. You’ll support events for students, faculty, staff, and external groups using campus facilities. The role blends hospitality, logistics, and relationship building, ensuring events feel seamless and welcoming.

Job Responsibilities

•    Campus Event Coordination — Support the planning and execution of catering functions across the university, including student events, academic gatherings, conferences, and community rentals.
•    Client Support — Join meetings with campus partners (student groups, departments, external clients) to gather event details such as menus, floor plans, rentals, and staffing needs.
•    Booking & Documentation — Assist with creating contracts, booking confirmations, and event files; ensure all campus specific requirements are captured.
•    Menu Planning Assistance — Work with the Catering director and Executive Chef to prepare menu options that suit student budgets, faculty preferences, and event types.
•    Pre Event Preparation — review event plans, confirm details, and ensure instructions are clear for kitchen and service teams working across multiple campus venues.
•    Guest Experience Support — Assist in ensuring food quality, presentation, and service standards meet expectations for both internal university groups and external clients.
•    Inventory & Purchasing Support — track catering supplies, manage small purchases, and support inventory organization across campus storage locations.
•    Team Coordination — Assist with staff scheduling, training logistics, and weekly team meetings.
•    Sales & Client Outreach Support — Support outreach to campus departments, student organizations, and external groups booking university spaces.
•    Issue Resolution — Address client questions or concerns before, during, and after events.
•    Operational Standards — Support safe food handling, proper equipment use, and adherence to workplace policies and campus regulations.

•    General Support — Assist with additional tasks to keep the catering department running smoothly across a large, multi venue campus.

Qualifications

•    Experience — 1–2 years in catering, events, hospitality, or food & beverage; campus experience is an asset.
•    Education — Hospitality, events, or food & beverage training is an asset.
•    Customer Service Skills — Comfortable interacting with students, faculty, staff, and external clients.
•    Organization & Detail — Able to juggle multiple events happening across different campus locations.
•    Team Support — Collaborative, reliable, and comfortable supporting a variety of team members across departments
•    Schedule – The role will primarily work Monday to Friday, with regular daytime hours. Flexibility is required to support catering events and operational needs, including early mornings, evenings, weekends, and holidays. The successful candidate should be comfortable adjusting their schedule to meet the needs of the business and our events.
•    Driver’s License — Required for off site event support or campus deliveries.

The pay range for this position is $53,045.00 - $65,776.00.
