Job Description
The Receptionist provides support in all administrative tasks. This includes but is not limited to answering phones, filing, communicating with clients and customers. The ideal candidate will possess the ability to effectively communicate, answer telephones, and operate office equipment in a fast-paced environment.
Job Responsibilities
Essential Duties and Responsibilities for Reception Staff
• Open the reception area and ensure it is clean and organized.
• Turn on all necessary office equipment (computers, phones, printers).
• Check and respond to Personal emails and voicemails.
• Manage the Facilities email inbox.
• Greet visitors and clients warmly upon arrival, preferred in French and English
• Enter and maintain visitor logs.
• Sign in visitors and provide visitor badges.
• Notify staff of visitors or catering arrival.
• Sign-out and tack visitor access cards.
• Answer incoming phone calls promptly and professionally (greeting in French and English)
• Direct calls to the appropriate staff members or take accurate messages.
• Receive mail and packages and log for mail clerk.
• Backup to mail clerk, may be required to prepare outgoing mail and packages for courier pickup.
• Maintain the reception area’s appearance throughout the day.
• Monitor reception supplies and inform if low stock.
• Assist staff with administrative tasks as needed.
• Assist with Facilities Service Now ticket assignments.
• Report any janitorial and repairs to building maintenance.
• Send Welcome emails to new staff.
• Manage email distribution lists.
• Maintain master employee listings as new staff arrive or depart.
• Close the reception area at the end of the day (secure confidential information, turn off equipment, tidy workspace).

Qualifications
• Previous customer service experience required
• High School Diploma/GED required
• 1-3 years previous administrative or office experience preferred
• Candidates should have a strong understanding of computers, printers, fax machines, telephones, and photocopiers.
• Shows initiative, follows established procedures
• Excellent verbal and written communication & listening skills
• Bilingual French & English is a strong asset
• Demonstrates self-development, and integrity
• Read and understand information and ideas presented in writing
• Strong digital literacy required i.e. Microsoft office, Excel, Word, PowerPoint
• Strong problem solving, analytical, and organizational skills
• Be courteous and professional at all times.
• Maintain confidentiality and protect sensitive information.
• Report any unusual activity or security concerns to management immediately.
